ESSENTIAL DUTIES AND RESPONSIBILITIES
The duties and responsibilities listed are representative of the nature and level of work assigned and are not necessarily all inclusive:

  • Prepare expense reports and monthly credit card reconciliations.
  • Assist with meeting preparations (agendas, catering, room set up, greeting guests, etc.).
  • Create and maintain appropriate electronic and hard copy files.
  • Provide research assistance and analysis as needed.
  • Book domestic and international travel through a travel agency.
  • Prepare detailed travel itineraries.
  • Assist in organizing and maintaining Microsoft Outlook contacts.
  • Assist in managing the company cell phones, including researching software issues and employee cell phone OS training.
  • Assist other departments with filing, mailing, data entry and basic office procedures as needed.
  • Performs other duties, as assigned.

QUALIFICATIONS

  • Ability to solve practical problems and deal with a variety of situations.
  • Strong computer skills needed including Word, Excel, PowerPoint, and Outlook.
  • Excellent technological skills.
  • Excellent communication skills (written and verbal), grammar, and reasoning skills.
  • Must be a self-starter.
  • Must be a good listener who is verbally articulate, polite, and courteous.
  • Must be a team player.
  • Excellent organizational skills with the ability to organize and manage multiple priorities while meeting deadlines, attention to details.
  • High level of both administrative and interpersonal professionalism, positive attitude, mature judgment and be able to work under pressure and respond in a calm professional manner.
  • Ability to work independently, as well as in a team environment.
  • Ability to utilize office equipment (i.e. copier, fax, postal meter, etc.).

EDUCATION and/or EXPERIENCE
Associate’s Degree (A.A.) or equivalent from two-year College or technical school; or 2-3 years of combined education and administrative assistance experience.

PHYSICAL DEMANDS/WORK ENVIRONMENT
The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. The noise level in the work environment is usually low. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential job functions.

HOURS/COMPENSATION/BENEFITS
This administrative assistant position is a part-time, non-exempt position with a 20-hour work week between the hours of 8AM and 5PM Monday thru Friday. Part-Time employees can participate in the company’s 403(b) plan, which includes a 5% employer contribution beginning after 1 year of service. Salary is commensurate with experience.
